File Conversion Guide: What Actually Happens When You Convert a File

Converting a file between formats looks simple from the outside — upload, wait a few seconds, download — but a lot happens in between. This guide explains what each conversion actually does, where formatting problems tend to come from, and how to get the cleanest result on the first try.

PDF to Word: what's preserved and what can break

A PDF is a fixed layout format — every letter, image and line is placed at an exact coordinate on the page, with no underlying paragraph or heading structure. Converting it to Word means reconstructing that structure from scratch, which is why results vary depending on how the PDF was made.

  • PDFs created from Word or Google Docs convert cleanly, because the original text and layout information is still embedded in the file.
  • Scanned PDFs (a photo or scan of a paper document) contain no real text at all — just an image. Converting one of these to Word requires OCR (optical character recognition) to guess at the text, which is why scanned documents are more prone to typos or missing formatting after conversion.
  • Complex layouts — multi-column pages, text wrapped around images, unusual fonts — are the hardest to reconstruct, since Word has to guess at the original paragraph and column structure.

Tip: if you have the original Word file, always convert from that instead of a PDF exported from it — you'll skip the reconstruction step entirely and get a perfect result.

Word to PDF: the safest direction

This is the most reliable conversion, because PDF is designed to "freeze" a layout exactly as it appears. Fonts, spacing, images and page breaks are captured pixel-for-pixel. The only common issue is a font substitution — if your document uses a font that isn't installed on the conversion server, a similar system font is used instead, which can shift line spacing slightly.

Excel to PDF: what happens to formulas and print layout

Excel files are dynamic — formulas recalculate, columns can be any width, and a sheet can be far wider or taller than a printed page. Converting to PDF "flattens" all of this:

  • Formulas are converted to their current calculated values — a PDF has no live cells.
  • The conversion uses your sheet's print area and page setup (margins, orientation, scaling) if you've set one. If you haven't, the tool applies sensible defaults, which is why very wide spreadsheets sometimes split across multiple PDF pages.
  • Cell colors, borders and number formatting (currency, percentages, decimals) carry over as shown on screen.

Tip: before converting, use Excel's Print Preview to set your page orientation and print area — the PDF will follow whatever that preview shows.

PDF to Excel: how table extraction works

This is the reverse problem from Word conversion: the tool has to detect where rows and columns exist in a page that has no real spreadsheet structure. It works well for cleanly formatted tables with visible grid lines or consistent spacing. It struggles with:

  • Merged cells, which can be split incorrectly or duplicated across columns.
  • Tables without visible borders, where column boundaries have to be guessed from spacing alone.
  • Scanned PDFs, for the same OCR reasons described above.

Image formats: JPEG vs PNG vs WEBP

These three formats solve different problems, and picking the right one affects both quality and file size:

  • JPEG uses "lossy" compression — great for photos, since it produces small files with quality loss that's hard to notice at normal viewing sizes. It does not support transparency.
  • PNG is "lossless" and supports transparency, which makes it the right choice for logos, screenshots, and graphics with sharp edges or text — but file sizes are larger than JPEG for photographic images.
  • WEBP is a newer format that generally produces smaller files than both JPEG and PNG at a similar quality level, and supports transparency, but isn't supported by a small number of older tools and email clients.

Rule of thumb: photos → JPEG or WEBP; logos, icons and screenshots with transparency → PNG or WEBP.

Why compression sometimes changes how a file looks

Compressing an image or PDF reduces file size by discarding some visual information — for images, this usually means slightly softer detail in busy areas like foliage or fabric texture; for PDFs, it usually means downsampling embedded images to a lower resolution. At moderate compression levels this is rarely noticeable on screen, but if you plan to print a document at high quality, keep an uncompressed copy of the original.

Getting the cleanest result: a quick checklist

  • Convert from the original file format whenever you have a choice (e.g. Word → PDF, not PDF → Word → PDF).
  • For scanned documents, expect to spend a few minutes proofreading OCR output — no conversion tool gets 100% of scanned text right.
  • Set your print area and page orientation in Excel before converting to PDF.
  • Keep your original file until you've confirmed the converted version looks right — conversion is not always perfectly reversible.
